CRM
Manage contacts
Create companies and individuals, maintain addresses and accounting details, archive records, and restore them.
Contacts at /contacts are the single source for companies and individuals. The same partner record can be used by CRM, invoices, payments, sales orders, vendor bills, and purchasing where the related module is enabled.
Access and permissions
Anyone with the Contacts module can open permitted records. Creating, editing, archiving, bulk archiving, and restoring require SUPER_ADMIN or MANAGER. Other roles receive a read only view.
Create a contact
- Open CRM → Contacts or
/contacts. - Select New contact. If the list is empty, use the same action in the empty state.
- Choose Company or Individual.
- Enter the name and any available address, phone, email, website, tax, sales, purchase, accounting, and notes information.
- For an individual who works for a company, link the parent company. For a company, add contact people under Contacts & Addresses.
- Select Create.
The form exposes additional tabs for sales and purchase information, accounting details, and notes. Related invoices and other records appear when their modules are installed and the viewer is permitted to read them.
Edit an existing contact
Open /contacts/[id]. Editable values use in place controls. Save from the form action bar. Existing invoices and payments remain linked when an ordinary profile field changes.
Use Duplicate when the new record is genuinely separate. Do not duplicate a company merely to add another person. Add the person as a linked individual instead.
Archive and restore
Choose Move to Trash from the record or row menu. Archiving removes the contact from active lists without deleting related finance history.
Open /contacts/trash or use Recently deleted from the list toolbar to restore a contact. The toolbar remains available even when the active list or trash list is empty.
Import contacts
Open /contacts?import=1 or use the list import control. Preview the file, map the supported columns, resolve validation problems, and then apply it. Companies and individuals should be distinguishable in the source data.
Common problems
| What you see | What to check |
|---|---|
| No create action | Your role may be read only or the workspace may be restricted. |
| Company is missing from the parent selector | Create the company first, then return to the individual. |
| Duplicate invoice history | The same company was created more than once. Use Data Cleaning to review merge candidates. |
| Contact cannot be permanently deleted | Related records preserve audit and accounting integrity. Archive it instead. |
| Recently deleted is empty | No contact is currently in Trash. Use Back to contacts to return. |
