Clean and deduplicate CRM data
Scan for duplicate records, review candidates, apply recycle rules, and standardize fields.
Data Cleaning is a separate system capability at /data-cleaning. It helps administrators find duplicate records, run recycle rules, and standardize field values across the workspace.
Access
The SYS_DATA_CLEANING module must be installed. The page and its actions require SUPER_ADMIN or MANAGER.
Main areas
| Route | Purpose |
|---|---|
/data-cleaning/candidates | Review suspected duplicates and decide what to merge |
/data-cleaning/rules | Define the rules used to find or recycle records |
/data-cleaning/scans | Review scan runs and their results |
/data-cleaning/recycle | Apply lifecycle cleanup rules |
/data-cleaning/field-cleaning | Standardize inconsistent field values |
Safe duplicate review
- Run or open a duplicate scan.
- Review each candidate pair. Similar names alone are not proof of a duplicate.
- Compare email, phone, tax identity, address, parent company, invoices, payments, and activity.
- Choose the surviving record only after confirming which one has the authoritative identity.
- Complete the merge and verify related history from the surviving contact.
Do not use Trash as a substitute for a merge when both records already own related business history. That leaves reporting fragmented.
Field cleaning
Use field cleaning for values such as capitalization, phone formatting, state or country labels, and other controlled text. Preview the affected values before applying a broad rule.
Common problems
| What you see | What to check |
|---|---|
| Data Cleaning is missing | The module is not installed or your role is not allowed. |
| Candidate is a false positive | Dismiss or leave it unmerged. Similarity is a review aid, not an automatic decision. |
| Related history looks split | Search for another duplicate and merge into the intended survivor. |
| A rule affects too many records | Narrow the rule and run another preview before applying it. |
